Five simple ways to improve your team meetings

We have great experience in running successful team meetings that actually deliver meaningful results. It's important to conduct a meeting that engages, inspires and actually achieves results. Here are five steps that might help.
1. Have a Purpose
It is really important to have a purpose and communicate to all attendees why the meeting is being held. Finding the common purpose will keep the group/delegates engaged and will set a productive atmosphere for the remainder of the meeting. Ask yourself, why are we having this meeting and what do we want to achieve?

A meeting is actually a perfect opportunity to achieve a lot of things. It is a chance to bring everyone up to speed on what is going on in the overall scheme of things. It is an opportunity to identify potential problems. It’s also a chance to reinforce your mission statement and refocus everyone on the team goals.
Too often, people call a meeting to discuss something without really considering what a good outcome would be.
- Do you want a decision?
- Do you want to generate ideas?
- Are you getting status reports?
- Are you communicating something?
- Are you making plans?
Team goals should actually be at the heart of every team meeting. Effective meetings ones leave you energized and feeling that you've really accomplished.
2. Have an Agenda
If you have a purpose, you must have a meeting agenda. Looking at your agenda will give you a rough idea of how much time you can afford to devote to each item. Effective meetings often start on time and only go for the allocated time. Time is a precious resource, and no one wants their time wasted. With the amount of time we all spend in meetings, you owe it to yourself and your team to streamline the meeting as much as possible. What's more, time wasted in a meeting is time wasted for everybody attending.
A simple meeting agenda, distributed in advance, is perhaps the most important tool in ensuring a successful productive meeting. Meeting agendas let participants know that there’s a legitimate business purpose for meeting, with specific issues to be discussed and outcomes to be achieved.
3. Encourage Participation
If the purpose of your meeting is relevant to those in attendance (and if it isn’t, they shouldn’t be there), then you want them to participate in the discussion and be involved throughout the meeting to ensure each and every individual attending remains engaged.

It is really important to encourage involvement as participation correlates to engagement. This will ensure your meeting is not boring and dull and we maximise productivity in the time we have allocated for the meeting. When people participate in a dialogue, their relationship to the issue deepens and becomes more interested. People will become genuinely enthused about your meetings if they are encouraged to participate and can see that something is actually being achieved.
4. Take Minutes
Someone should be assigned to take the minutes at every meeting (ideally someone different each time). The minutes are your record of what was discussed and decided at the meeting and they help to set the agenda for the following meeting.
Minutes record meeting decisions, which makes them a useful review document when it comes time to measure progress. They also act as an accountability tool because they make it clear who’s duty it was to perform which action.
5. Use Technology
